I recently received an email from a client who is graduating in 2010 with honors from a prestigious university majoring in business. He is an exceptional student, active in scholastic and community activities. In his email, he advised me that 150 corporate recruiters were going to visit his campus in two weeks.

After providing his class advisor with a copy of his resume, he was counseled that recruiters ‘… typically seek a more conservative look’ in a resume. The advisor recommended that a ‘Job Objective’ be included, and the ‘Profile’ and ‘Skills and Attributes’ be eliminated. He was advised to ‘…elaborate on his fraternity involvement and create a more conservative format’ (i.e. organizing titles on the left side of the page, content to the right). He requested my guidance after receiving these comments.

I am frequently asked similar questions by many of my clients. Is there a ‘conventional’ resume format proven more effective than others? How should the content be structured? What information is required? Is one page sufficient? The answers to these typical questions are intuitively quite simple – it’s dependent on the intentions and requirements of the individual job seeker!

The fact is, rapidly advancing technologies and radically different business models have influenced a paradigm shift in how resumes are structured, delivered, and the relevant content that will inspire the potential reader. Since each client situation is unique, there are no set rules relative to formatting and content. 

It is incumbent on the professional resume writer to understand the job seeker, their skills, experience, career status, and job objective. We subsequently must leverage upon and encapsulate this ‘discovery’ into an effective resume format specifically tailored to ‘optimize’ the interview potential for the job seeker. The structure and content of a resume is predicated upon our resolve and innovation that best achieves results for the job seeker!

In the case of the e-mail referenced above, the class advisor was seeking a ‘simple’ scholastic resume, devoid of any unnecessary elements. My client had many extraordinary skills and attributes which afforded him a superior level of ‘differentiation’. The resume was subsequently untouched and praised by the on-campus recruiters!

In preparing for the future, the resume writer first must be prepared to manage change. The resume format that would be categorized as exceptional 10-15 years ago is archaic and no longer exists! Today, the rules have changed – incorporating a myriad of complementary e-resumes in addition to the typical ‘hand-out’ copy.

Whether utilizing a chronological format, functional format, or, combination of both, the ultimate goal must be the delivery of a ‘highly targeted solution’,  structured to achieve maximum marketing impact by opening doors for interviews. To summarize, let creativity and the specific needs of the client influence and dictate the format and content of a visually appealing resume.

Although many resumes are now sent digitally, paper resumes are still essential for distributing at job fairs, circulating throughout your network, and bringing to job interviews. Like the digital version the paper resume must convey that you are the best candidate for the job, but it also needs to be visually appealing.  A well designed resume is more likely to be read and passed on to decision makers.

 

1.         Attractiveness – The Paper

Most employers like conventional looks and styles.  Paper should be white, off-white, eggshell or a very pale shade of gray. When hand delivering resumes for professional, managerial, or executive positions, the resume should be printed on a high quality paper that contains a rag content of 25 % and has a watermark (a faint image ingrained in the paper).  For lower level positions, any decent paper will do, but the heavier 24 pound paper makes a better impression than the thinner 20 pound paper.  Themed paper (musical notes, small illustrations) is a good option only for those in creative fields.

 

2.         Attractiveness – The Print

Ideally your resume should be laser printed, and it goes almost without saying that it will be done on a computer.  If you are an older job seeker, do not emphasize it with a typewritten resume.

On your resume use no more than two typefaces. The best typefaces to use are: Times New Roman, Arial, Verdana, or Helvetica.  Using Helvetica for Headings and Times New Roman for text and lesser headings is an attractive combination.  Boldfacing headings is also an excellent way to give them prominence especially if you are using one typeface.

Font refers to the size of the typeface. Text should be in 10 -12 point font; headings in 14 or 16 point.

 

3.         Consistency – Decide on a Style and Stick to It

Font: Be consistent in your use of typeface, font size, bold, capitalization, and italics.  Pick a style for major headings, minor headings, text, and dates, and stick to it.

Line Spacing, Tabs, and Indentations:  Again be consistent and use these to give your resume some white space.

Bullets:  Using one style of bullet throughout the resume looks best, but in some resumes bullets and checkmarks work well together.

 

4.        Open Spaces – Graphic Attention Grabber

The contrast between dark print and white space attracts attention and makes the resume readable.  The one page resume advocated by some resume gurus too often gets done in small print, is right justified, and covers the entire page. It is dark and difficult to read.  Too many words jammed together are tough on middle-aged eyes and younger readers who did not grow up reading small print will not carefully read a densely packed page.  For resumes that will be hand delivered or travel by U.S. mail, go for the white space.

 

5.         Length – One Page, Two Pages, or More

Under most circumstances your resume should not be longer than two pages.  Academics, researchers, authors, and musicians may need longer resumes if books, publications, presentations, performances, etc. need to be cited.  Use consistent, tabs, indentations, and line spacing to create white space. Two attractive pages with white space are preferable to a difficult-to-read one page resume.  On a two page resume,the most important information: Summary, Skills, Experience/Accomplishments should be on page one.

 

6.         Format – Organizes and Emphasizes Information

There are four basic resume formats:  Reverse Chronological Format, Functional Format, Hybrid Format, and Curriculum Vitae (CV).  There are many books, e-books, on-line sites, and templates to help you prepare your resume in any of these formats.

The format you choose should catch the reader’s eye and maximize your qualifications.

 

7.         Groupings  – Threes and Fives, Twos and Fours

Certain groupings are more attractive than others.  Copywriters almost always group their text or bullets in groups of three. It is brief and powerful.  People will read three lines of print or three statements. Five short statements are also attractive. Three or five skill groups, accomplishments, or sentences make an eye-catching arrangement.  An arrangement of two and two can also be an eye catcher.  There is no hard and fast rule for groupings, but do group accomplishments, skills, etc., so they are pleasing to the eye and catch the reader’s attention.

 

8.         Words to Avoid – Some Words Are Lethal and Some Words Waste Space

Do not reveal that you have been fired and do not state your past salaries.  Avoid mentioning salary in your cover letter as well.  If they ask, tell them it is negotiable.

Do not put your Social Security Number on your resume; it’s too dangerous in this age of identity theft.

It is assumed that your references are available.  Save the space for more valuable information.

Omit the phrase, responsibilities included. Hiring managers are looking for accomplishments. Job descriptions may tell what you did but they don’t sell you.

The articles, the, a, and an waste space, crowd sentences, and do not clarify meaning. Eliminate them as much as possible.

 

9          Read It Aloud – Double Check Your Communication Skills

Read your resume out loud to see how it sounds.  If it does not sound right to you, it will not sound right to the person that you are sending it to. If you stated in your resume or cover letter that you had strong communication skills, do not give them a resume that does not back this up!

 

10        Proofread – Check your spelling and your grammar

Spelling errors or typos reflect poorly on your image. They suggest that you are careless, and give a hiring manager an easy way to disqualify you. Proofread your resume and then to make sure you have no spelling or grammar mistakes get another person to proofread it.  Finally try reading it backwards to look for punctuation mistakes.
